What "Know Your Customer" means
Know Your Customer (KYC) is the standard process by which a financial service confirms that a client is a real, identifiable person, and that the information provided at registration is accurate.
At Sovereign Rendholt level KYC involves collecting and validating essential information about you: your complete legal name, date of birth, country where you reside, how to contact you and which payment method you will use. We verify that the information provided during registration matches what appears in the documents you provide.
What we do not do
We will not ask for your internet banking credentials, complete card PIN, or device access permissions. Our team members will never make such requests. Any communication requesting these details does not originate from us and should be reported via our abuse reporting system.
Why verification is required
- 01
Legal obligation
Services that hold or transmit client funds are generally required to identify their clients before providing the service. This is not optional and applies to every account without exception.
- 02
Protecting your money
Account verification connects a profile to a single verified individual. This substantially reduces the risk of unauthorized account access, and it ensures that funds can only be withdrawn to a payment method previously confirmed as yours.
- 03
Keeping the platform clean
Screening keeps sanctioned parties and anonymous shell activity off the platform, which protects every other client using it.
- 04
Faster payouts later
An account verified up front does not have to stop for checks at withdrawal time, which is when delays are least welcome.
What "anti-money laundering" means
Anti-money laundering (AML) is the set of internal controls a financial service uses to prevent its platform from being used to move the proceeds of crime, to finance illegal activity, or to disguise the true origin of funds.
AML controls are broader than a one-off identity check. They cover risk classification of new accounts, sanctions and politically-exposed-person screening, limits on unusual funding patterns, record keeping, internal escalation of suspicious activity and, where the applicable law requires it, reporting to the competent authority.
Where AML rules and a client instruction conflict, the AML rules take priority. That can mean a delayed transaction, a request for additional documents, or a restricted account until the matter is resolved.
Which documents are accepted
Documentation may comprise up to three separate categories. Submissions should be full-colour photographs or PDF documents, completely visible, unaltered, showing all edges with text and details clearly readable.
1. Identity document
A government-issued document that shows your photograph, full name, date of birth, document number and expiry date. Commonly accepted types are a passport, a national identity card, or a driving licence where it is issued as a photographic identity document. The document must be valid and not expired.
2. Proof of address
A recent document, usually issued within the last few months, showing your name and your residential address as it appears on your account. Typical examples are a utility statement, a bank or card statement, a local tax or municipal notice, or an official letter from a public authority. Post-office boxes and addresses belonging to someone else are not accepted.
3. Proof of payment method
Proof that you own the payment instrument. For a credit or debit card, this typically means a photo displaying your name, initial six digits and terminal four digits plus expiration date, with middle digits and security code obscured. For a bank account transfer, you must supply an account statement or official confirmation bearing your name and showing the account number. For a digital payment account, provide an account page screenshot displaying your name and account number.
Formats and file size
Transaction limits, which file formats are acceptable and any supplementary documentation requirements are displayed within your account's verification section. Non-English language documents may need certified translation; our compliance department will advise you accordingly.
The verification steps
- 01
Register
Register using your actual legal name, birth date, place of residence, email and phone number. Mismatched information between your submission and your records represents the primary reason for review delays.
- 02
Confirm contact details
Confirm your email address and, where requested, your phone number. This proves the contact channels belong to you.
- 03
Upload your identity document
Upload the pages that carry your photograph and personal data. Some checks include a short liveness or selfie step to confirm the document belongs to the person holding it.
- 04
Upload proof of address
Upload a recent qualifying document in your name at the address on file.
- 05
Confirm the payment method
Provide proof of the instrument you will use to fund and to receive withdrawals.
- 06
Screening and review
Our compliance division examines the submission, carries out mandated compliance checks and financial risk assessment, then either grants access or requests modifications.
- 07
Confirmation
You receive a notification once the account status changes. The current status is always visible in the verification area of your account.
Your obligations
- Give accurate, current and complete information, and keep it up to date.
- Only use funds that belong to you and payment methods in your own name - not third-party instruments.
- Keep one account only, and keep your credentials private.
- Respond to document requests within the timeframe stated in the request.
- Tell us promptly if you change country of residence, legal name or payment method.
- Report any suspected unauthorised access to your account immediately.
Submitting falsified or altered documents is a serious matter. It leads to closure of the account and, where applicable law requires, notification of the competent authority.
Ongoing transaction monitoring
Verification is not a one-time event. Accounts and transactions are monitored for as long as the relationship lasts.
What is monitored
Transaction volume and patterns, changes to payment methods, geographic relocations, modifications to contact information, conduct inconsistent with your initial profile, and flagged activity detected through our compliance systems.
What can happen as a result
- A request for refreshed documents or an explanation of the source of funds.
- Temporary suspension of a particular transaction pending examination.
- Adjustment of the limits published in your account.
- Restriction or closure of the account where the law requires it.
Records
Identification data and transaction records are retained for the period required by applicable law after the relationship ends, and are handled in line with our Privacy Policy. In some legal situations we are prohibited from disclosing to customers that we have filed a report.
How long a check takes
Properly completed applications typically receive a decision in anywhere from several hours to two business days. Materials needing extra scrutiny, professional translation or supplementary paperwork may take extended time.
Review times depend on volume, on the quality of the uploads and on whether any additional screening is triggered. The processing window that applies to your account, together with the current status of each document, is shown in your account area - that published figure is the one to rely on, not any figure quoted elsewhere.
- Submissions that are legible, comprehensive and unaltered receive fastest processing.
- Applications made during non-business hours will be processed starting the following business day.
- Enhanced review, where required, adds time and is communicated to you.
Why a check can be rejected
Denials typically stem from document quality concerns rather than disapproval of the applicant. In the majority of situations, resubmitting revised materials results in approval.
| Reason | How to fix it |
|---|---|
| Image blurred, cropped or glare-covered | Take photographs outdoors with natural light, place the document on a contrasting dark background, ensure all edges are visible. |
| Document expired | Upload a currently valid document. |
| Name or date of birth does not match the account | Correct the account details, or explain a legal name change with supporting proof. |
| Proof of address too old or not in your name | Submit a current official document mailed to the address you registered with our service. |
| Payment method belongs to a third party | Use an instrument in your own name - third-party funding is not accepted. |
| Picture is altered, cropped to conceal information, or taken as a photo of a computer display | Submit an unmodified original image or PDF. |
| Residence in an excluded jurisdiction | The account cannot be opened; see our licensing page for the general position. |
Should you need clarification on our determination, reach out to our help desk and request an explanation. We will provide details when legislation allows.
Where to ask questions
If anything on this page is unclear, or you want to know the exact status of your own verification, ask us before uploading again.
Who reviews my documents?
A trained compliance reviewer. Files are stored on restricted systems, and access is limited to staff who need it for the check.
Can I start before I am verified?
Account setup and navigation are accessible without verification, but account funding, market activity and money transfer features require completion of verification.
Do I have to verify again later?
Potentially. Credentials have expiration dates, residential addresses evolve and routine revalidation is standard for AML requirements. We will reach out when an update is required.
How do I contact the compliance team?
Use the contact route on our contact page and mention "KYC" or "verification" in your message, together with the email address on your account. Please do not send document images by unsecured channels - upload them in the account area instead.
Get verified once, cleanly
Roughly nine in ten processing issues stem from these three factors: low resolution images, outdated address documentation, and payment methods registered under another person's name. Correcting these typically results in approval on the first resubmission.
